Gatheroo lets you download all files submitted on a request in one go, including uploaded attachments and a PDF of all questions and answers, packaged neatly into a single zip file.

How to Download Request Files

Step 1: Open the three-dot menu for the request

From within your request, click the three-dot menu (⋮) located next to Step 4: Published & Sent in the top-right of your screen.

Step 2: Select Download

From the dropdown menu that appears, select Download.

Select the Downloads option from your request menu to download all the information your client has shared with you in a few clicks.

Step 3: Choose your download options

A dialog box will appear with the following options:

  • File format: Select PDF (Portable Document File) from the dropdown. This captures all the written questions and answers.
  • Include attachments: Toggle this ON (green) to include the files your client has uploaded.
  • Folder structure for attachments: Choose how you’d like uploaded files to be organised. More on this below.

The folder structure setting controls how attachments are sorted into folders within the downloaded zip file.

Depending on how your clients are naming the files they upload and how many files they are sharing with you, more granularity helps you to easily know which files answer each of your questions.

a) Question level

Creates a separate folder for each question, nested within page and section folders. This gives you the most granular organisation and makes it easy to match each file to the exact field it was uploaded under.

b) Section level

Groups files by section within each page.

Fewer folders than Question level, but still maintains your request’s page and section structure.

The Section level is a great option when you need to know which section the file relates to, but not down to the question level

c) Page level

Groups all files from the same page into one folder, regardless of which section or question they came from.

d) Request level

Places all attachments into a single folder with no sub-folders.

The simplest structure, useful when you just need all files in one place and don’t need to know which question they came from, or you need to upload the files into a different system.

Step 4: Start to download request files

Once you’ve selected your options, click Start Download.

Gatheroo will package everything into a zip file containing your PDF and any uploaded attachments, organised according to your chosen folder structure.

Tip: Lists and Lists with Columns will be downloaded as CSV, ready for you to open in Excel or Google Sheets.

What does the zip file contain when I download a request?

The zip file contains two things: a PDF of all questions and answers from your request, and a folder (or folders) containing any files your client uploaded. The folder structure depends on which option you selected: Question, Section, Page, or Request.

What’s the difference between the folder structure options?

The folder structure determines how uploaded files are organised inside the zip. Selecting “Question” creates one folder per question, making it easy to match files to their fields. “Section” and “Page” create fewer folders based on your request’s layout, while “Request” puts everything in one folder.

Can I download a request without including attachments?

Yes, simply leave the “Include attachments” toggle turned off. You’ll still receive a PDF of all questions and answers, but no uploaded files will be included in the download.
