You’ve received an email with a link to a Gatheroo request. This page explains what Gatheroo is, why your service provider is using it and what you’ll need to do.
What is Gatheroo?
Gatheroo is a secure platform used by professional services businesses – accountants, financial advisers, mortgage brokers, and lawyers – to collect information and documents from their clients. Rather than emailing documents back and forth, which isn’t secure, your service provider is using Gatheroo to give you a safe, organised way to share what they need.
Is it safe?
Yes. Gatheroo is built for businesses handling sensitive client information.
Your data is encrypted in transit and at rest. You don’t need to create an account or remember a password – your secure link is unique to you.
If your service provider is asking for particularly sensitive information (tax file numbers, bank details, personal identification), they may have enabled additional protections:
- Field encryption: individual fields are end-to-end encrypted, so the data is scrambled before it leaves your browser.
- Secure access passcode: you’ll enter a passcode (sent separately, by email or SMS) before the request opens.
Why not just email it?
If your instinct is to just reply to their email with an attachment, it’s worth knowing why they’ve asked you to use a portal instead.
Emailing sensitive documents means the file usually sits unprotected in both inboxes unless someone manually password-protects it first, and shares that password through a separate channel, which most people skip.
A secure portal like Gatheroo does that work automatically: your link is unique to you, the connection is encrypted, and for especially sensitive fields, the data itself is encrypted before it ever leaves your browser.
There’s no password to create, remember or accidentally send in the same email as the file.
What you’ll need to do
- Open your request. Click the link in the email. No account or download needed. If a passcode is required, you’ll be prompted for it first.
- Work through it at your own pace. Mandatory fields are marked; if a question doesn’t apply to you, look for the “Mark n/a” option next to it (not available if your service provider has made that question mandatory). Not sure what something’s asking? Use the comment icon next to the field or the “Add Comments” button, to ask your service provider directly without leaving the portal. This keeps everything in one place, making it easy to find if needed.
- Save as you go. Your answers save when you click “Save progress” or submit a question or page. You can close the browser and pick up later from the same link. The left-hand menu shows your progress at a glance: red for not yet answered, blue for saved but not submitted, green for submitted.
- Upload documents or sign, if your request needs it. Drag and drop files onto the upload area, or sign with your mouse, trackpad or finger on a touchscreen.
- Submit. Click “Submit” on each page (or submit answers individually as you go if you prefer). You’ll see an on-screen confirmation and get a confirmation email, and your service provider is notified immediately that your request is complete.
Remember – you don’t need to do this in one sitting – come back to the same link any time before you’re done.
