How to use comments in Gatheroo: Field-Level, @mentions and Request-level notes
Gatheroo’s comments feature keeps all communication attached to the work it relates to, rather than scattered across email threads, messaging apps or a shared inbox.
There are three ways to use comments in Gatheroo, each suited to a different type of communication.
1. Field-level comments
Field-level comments are attached to a specific question within a request.
This is the right place for anything that relates directly to what a client has answered, or hasn’t answered, on a particular field.
Both team members and clients can leave field-level comments.
When a comment is added, the relevant parties are notified by email with a direct link to that field.
To view and respond to a field-level comment, click View Comment from the Comments dashboard.
You’ll be taken directly to the relevant request and field, where you can reply inline.
2. Request-level comments

Request-level comments sit at the top of the request, separate from individual fields.
Use these for notes that apply to the submission as a whole, a follow-up instruction, or a general comment about a client’s answers.
Both team members and clients have access to request-level comments.
To add a request-level comment, open the relevant request and look for the comment option at the request header level, above the individual fields.
3. @mentions in comments

When leaving any comment, at field-level or at the request-level, you can @mention a specific team member or contact by typing @ followed by their name.
They’ll receive a direct notification, making it clear who needs to act without the need for a separate email.
One important distinction: @mentions control who receives the notification email, but they do not restrict visibility.
All contacts attached to the request can see all comments through their unique link.

If a comment contains information intended only for your team, it should not be left in the client-facing request.
The Comments Dashboard
All comments, field-level and request-level, are visible from the Comments section in your Gatheroo dashboard.
Comments are listed with the most recent at the top.
Each entry shows the date and time, the request name, the primary contact, and the field or request it relates to. You can filter by status: unopened, opened, archived, or deleted.
Use the search bar to find comments by request name or keyword.
Notifications
New comments trigger a notification bell in the dashboard header. Email notifications include a direct link to the relevant request and field, so nothing needs to be searched for manually.
Comments and the audit trail
All comment activity including who commented, when, and on which field or request, is recorded automatically in the activity log. This forms part of Gatheroo’s full audit trail and is available for review at any time.

To include comments in an exported record, select the comments option from the download menu when generating a PDF of the request.
Accessing and Navigating the Comments Dashboard
- Open the Comments Dashboard: Navigate to the ‘Comments’ section from your Gatheroo dashboard to see all the comments related to various Request Projects.
- Understanding the Layout: Comments are listed with the most recent at the top. Each entry shows the date and time received, the request name, the primary contact, the field name related to the comment, and the status (unopened, opened, archived, deleted).
Managing Comments
- Searching Comments: Use the search bar at the top of the Comments Dashboard to find comments by the request name or any relevant keyword.
- Filtering Comments: Comments can be filtered using the tabs at the top of the list. You can view them based on their status: unopened, opened, archived, or deleted.
- Viewing and Responding to Comments: Click ‘View Comment’ next to any entry to be redirected to the specific Request Project and field where the comment was made. This feature supports inline commenting, allowing you to respond directly within the context of the original comment.

- Inline Chat-Like Interaction: Comments function in a similar way to an inline chat, making it easier for team members to collaborate and provide feedback directly within the request fields.
