How to Archive, Delete and Restore With Bulk Actions
Managing multiple requests, contacts, or templates individually can be time-consuming and inefficient, especially when you’re handling large datasets or preparing for new projects. Gatheroo’s bulk actions feature streamlines these repetitive tasks, allowing you to archive, delete, or restore multiple items simultaneously with just a few clicks.
Whether you’re conducting end-of-quarter cleanup, preparing your workspace for a new campaign, or simply organising your dashboard for better productivity, bulk actions save valuable time and reduce the risk of missing items during manual processes. This powerful feature is particularly useful for project managers handling multiple requests, teams transitioning between phases, or administrators maintaining clean, organised accounts.
In this guide, you’ll learn how to efficiently use Gatheroo’s bulk actions across different areas of your account, understand the available options, and discover best practices to manage your data safely and effectively.
On Your Request Dashboard
Simply select 2 or more requests that you would like to perform the same action on, then click on the “three dots” on the right hand side of the purple bar, and select your action.

⚠️ Important Warning: Permanent Deletion
When you select “Delete” in bulk actions, items are removed permanently from your Gatheroo account and cannot be recovered.
Unlike archiving, which preserves your information in a separate section, deletion is irreversible and immediate.
Before You Delete: Archive First
Consider archiving items instead of deleting them, especially for:
- Completed projects you may need to reference later
- Historical data for reporting purposes
- Items containing important client communications
- Templates that might be useful for future campaigns
Archived items remain accessible in your “Archived” tab and can be restored at any time if needed.
Archived items do not count towards your account limits, though files will contribute towards your storage allowance.
Recommended Workflow for Safe Bulk Management
1. Review Your Selection Carefully
- Double-check each selected item before proceeding
- Ensure you haven’t accidentally selected active or important requests
- Use filters to narrow down your view before making selections
2. Start with Archive, Not Delete
- Archive items first if you’re unsure about permanently removing them
- Wait a week or two before considering permanent deletion
- Review archived items periodically to determine what can be safely deleted
3. Backup Important Data
- Export critical information before bulk deletion.
- Consider linking your storage solution (Google Drive or Microsoft OneDrive) to your requests.
- Save important communications or attachments separately
- Document any essential details that might be needed later
4. Test with Small Batches
- Start with 2-3 items to familiarise yourself with the process
- Gradually increase batch sizes as you become more comfortable
- Avoid selecting large numbers of items until you’re confident
This approach ensures you maintain control over your information while leveraging the efficiency of bulk actions.
